The annual meeting is held each year, (usually) on the first Saturday of June. This is an important meeting to which all members are invited and are encouraged to attend.
This year’s annual meeting is:
- Saturday, June 1, 2024
- 10:00 AM
- “Doc” Medler Family Pavilion (near the pool)
Agenda:
The general meeting agenda includes:
- New Owners
- Financial Update & Budget Approval
- Operational Notices
- Social Committee Report
- Board of Trustees Elections
- New Business
Proposed Indenture Change:
There are no proposed Indenture changes this year.
As a reminder, last year (June 2023) we discussed and approved change to the Indentures that will permit the board to provide official notice via email instead of only via US mail. This is being proposed as using email will be faster, cheaper, more reliable and require less manual work. We already use email, almost exclusively, for sending bills, receive more than half our assessment payments electronically and communicate effectively via the website, community Facebook page and email.
We will make accommodations for those that do not use email, as we do for invoicing and will make sure that important information shared via email is also available via the other electronic communication methods noted above. In cases where it is deemed necessary or advisable, the board may also send notices via US mail, certified mail and overnight delivery.
Proposal: The Indentures shall be modified to permit email as an acceptable method of communication and notice in; (i) Section IV C (regarding notices of the annual meeting); (ii) Section V F 3(b) (regarding assessments); (iii) Section VII A 1 (regarding violations of the Indentures); and (iv) Section VII D (regarding notice of the change of ownership).
Attendance and Proxies:
We hope all members will attend. If you cannot attend, it is important that you give a proxy to someone else to ensure your voice is heard and to make sure we have a quorum. You may do that in one of several ways:
- Provide written notice of your intent via email, sent to info@amhoa.net
- Print (and sign) the proxy card that was sent via email and is available here and ; (i) mail it to AMHOA, 10033 Anthonies Mill Road, Bourbon, MO 65441; or (ii) scan or snap a picture of the signed section and email it to info@amhoa.net
- Complete this Google Form which is automatically submitted. If you cannot attend, you may use this form to designate a proxy or to cast your vote for the Board of Trustees and regarding the proposed Indenture change. Only one proxy may be submitted per lot so please coordinate this activity if there is more than one person with the right to vote as an owner.
Meeting Minutes:
The minutes for the annual meeting will be posted once prepared. They are in “draft” format until they are reviewed and there is a vote to approve them, which generally happens at the following year’s annual meeting. The meeting minutes from last year’s annual meeting are available in the Owners Portal –> Resources.
Other Things:
- Assessments – Remember, annual assessments invoices were sent in April and are due June 1, 2024. If you have not seen one please check your spam or junk folder. In cases where there are more than one owner it goes to the email address we have on file as the “official” accounting email. Please check with other parties that may have received it. If you still don’t find it, please contact info@amhoa.net
- Boat and Trailer Storage – this needs to be done in an inconspicuous manner. Very reasonable storage is available below the dam inside the gate. Please contact info@amhoa.net for more information. Please don’t leave your boat, trailer and other stuff cluttering up your yard, driveway, …. as it detracts from the natural beauty of the community.
- Lake Rules and Use of Assets – Please review the Lake Rules to make sure we keep the lake as safe as possible and so that everyone has a chance to enjoy being on the water. Remember, OWNERS are responsible for the behavior of guests and the owner must be present for anyone to operate a motorized watercraft, enjoy the pool or other community assets.
- Speed – please watch your speed on our roads. We know 15 MPH is slow, for a reason. There are lots of kids, golf carts, walkers, … and high speeds kick up lots of dust that compromises the ability of those that live near the road to enjoy their experience.
